Frequently Asked Questions

  1. Should the prices on the bid sheets include shipping and handling?
    • Shipping cost is not part of the official bid price for Kentucky schools.
  2. According to the bid packet the bond with KY should be no less than $2000 and no more than $10000.  How do we know how much to do the bond for?

    • KDE does not have requirements regarding what amount between $2,000 and $10,000 a publisher obtains.  This is at the discretion of the publisher.  KDE does prefer a 6 year bond over a 1 year renewable bond

  3. Bid with Intent to Substitute - Please refer to the Bid Packet. (information copied below)

    •

      704 KAR 3.455 Section 9.

(2)(a) A publisher may submit an old copyright with the official bid. A revised edition shall be submitted before the commission hearing.

      (b) A publisher may submit a galley proof, incomplete book, or statement of intent with the official bid. The book shall be complete and on file with the State Textbook Commission before the date of the commission hearing.

      (c) Ancillary materials, including workbooks, electronic versions, and teacher editions, shall be completed on or before the July 1 contract date.

Note: In the above information 'the commission hearing' is considered to be the first scheduled State Textbook Commission meeting of 2009

    • In order for the State Textbook Commission to make an informed decision on items submitted under this method, it should be understood that ample time needs to be given for this process. The State Textbook Commission relies on a review of the actual item before it makes a decision to place it on the State Multiple List. This review is based upon the criteria of the adoption group evaluation tool.
