The Kentucky Department of Education (KDE), Office of Educator Technology (OET), Division of School Technology, Planning and Project Management in Frankfort (Franklin County) has an opening for an Administrative Specialist.​

DUTIES AND RESPONSIBILITIES:

Provide professional administrative support to internal staff and leadership related to the agency's business operations. Perform duties involving general processes and procedures.

Provide professional administrative support for the division, Kentucky Education Technology System (KETS) Field Staff and Digital Learning Team. Perform all aspects of front office coverage, including answering phones, distributing mail, establishing, maintaining, and communicating resource schedules, arranging coverage when not available.

Provide assistance to supervisors, employees, related agencies, outside entities, directing specific inquiries areas within the Office or agency. Coordinate resolutions to office administration functional issues that arise. Deliver professional administration support to the Director, Office staff and Program Consultants involving Education Technology related programs, projects, activities, processes, and procedures.

Perform daily financial activities for KETS, processing documentation, coordinating internal, external review and approvals. Prepare and track education technology procurement processes, including Department Purchase Requisitions (DPRs), contract and budget reviews, invoices, and Strategic Procurement Request (SPR1) preparation. Proof financial documents for accuracy and assure timely completion of reviews.

Review associated program records and reports for accuracy, determining requirements met working with appropriate Office or agency area resolving inconsistencies, inaccuracies and assisting with procedures. Assist with office document management, maintaining changes and alignment of Kentucky Department of Libraries & Archives (KDLA) and KDE retention schedules acting as Office representative for agency wide efforts.

Perform office content and documentation review and maintenance activities. Aid with designated OET content review, preparation, and maintenance, including KDE webpages and intranet SharePoint site, ensuring webpages and documents meet KDE governance, style, and accessibility standards. Work with staff to ensure content is accurate and resolve any issues. Maintain files for the office.

Perform other duties as assigned.

MINIMUM REQUIREMENTS:

EDUCATION:

Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS:

One year of professional, administrative, or business experience.

SUBSTITUTION:

EDUCATION for EXPERIENCE:

Additional education will substitute for the required experience on a year-for-year basis.

EXPERIENCE for EDUCATION:

Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Gross Monthly Salary Range: $2,889.42 - $3,883.92

NOTE: This position is eligible for consideration for a hybrid schedule that allows for a combination of in-office and approved alternative work scheduling. The agency may terminate or modify the telecommuting arrangement at any time.
